The position will report into the Event Manager and is part of a dynamic team responsible for all meetings, events and cricket at The Guildford Pavilion. The role involves assisting with event preparations, general administration and cricket operations.

Pre-Events
- Set up for events – this will include tables, chairs, equipment, teas, coffees and refreshments to - - The Guildford Pavilion operational standards
- Liaise with the Event Manager or Event Executive and follow the set-up instructions on the BEO
- Attend to any bar management required
- Ensure the building is ready for client requirements, for example, checking car park, entrance, reception and toilets for cleanliness
- Attend briefing sessions for upcoming events
- Ensure all required risk assessments are complete prior to events with the Events Manager
- Be aware of the fire/evacuation/safety procedures for that specific event
Events
- Be a point of contact for the suppliers, including caterers on the day of the event
- Work the bar for each event as required and replenish stock
- Be aware of alcohol license agreements for each event
- Set up and break down of equipment, furniture and refreshment stations for the event
- Open up and lock down of rooms/buildings used for the event
- Post Events
- Clear down and reset for next event
- Ensure that the kitchen and bar area are clean after each event
- Cricket Season
Seasonal weekend work (April-September) 1 weekend off per month. Ad-hoc weekend work during the Autumn/Winter (September-April)
Be the lead to work on cricket events during the summer cricket season
Liaise with Surrey County Cricket Club and Guildford Cricket Club with regards to their requirements during the summer cricket season and ensure a tight event schedule is set up
Work with the team on introducing additional income streams during cricket season
Work 3 out of 4 weekends to ensure the Pavilion is set up and welcoming for all cricket guests
Bar
To keep the bar area locked at all times when not in use
To keep the bar area tidy and clean
Conduct weekly bar stock checks for the General Manager
Work the bar for each event as required
To keep ice stocks at appropriate level
To keep equipment maintained and report breakages
Accept and check deliveries
Facilities
Arrange orders for bar stock if requested by the General Manager
Report any work required to be carried out within the building
Support the General Manager with the facilities management of the building
Report any damaged equipment to the General Manager
Take meter readings for electricity, gas and water
Qualifications
Previous experience in hotel, hospitality, or restaurant settings is preferred but not essential. Strong organisational skills with the ability to manage multiple tasks simultaneously. Excellent time management skills to prioritise tasks effectively during busy events. Exceptional communication skills to engage with guests and team members professionally. A proactive attitude towards problem-solving and a willingness to learn new skills. Experience in fundraising or event coordination is a plus but not required.
